FilesMagic AI is Mac-only, but everything about it, the built-in model, the watched folders, the System Cleaner, is built specifically for how macOS handles files, iCloud sync, and Apple Intelligence. For a Mac-only household or office, that focus shows up as fewer settings to configure rather than a missing platform.

Where Files Are Processed

Magic Rename's renaming pipeline makes no network calls at all. There is no cloud mode to opt into; every invoice and receipt is read and renamed on the Mac it's sitting on, by design, with nothing to configure to keep it that way.

FilesDesk's managed plans (the $8 and $20/month tiers most people start on) send file content through FilesDesk's own service to OpenAI or Gemini. FilesDesk says that content is processed in memory and deleted afterward, keeping only metadata logs for 90 days, but it is still leaving your machine. Fully offline processing on FilesDesk requires the $40 self-managed license paired with a local model through Ollama, LM Studio, or vLLM, which is an extra purchase and an extra setup step most people won't take on the managed plan by default.

Invoice & Receipt Templates

Magic Rename treats invoices and receipts as two separate templates, each with its own field set: invoices pull date, vendor, invoice number, and amount, while receipts pull date, issuer, document type, and amount. Five more templates cover business documents, statements, contracts, and certificates, none of them requiring you to write anything.

This round went the other way when this article was written, and the September 2026 re-check reversed it. FilesDesk now publishes twelve built-in templates, not five, and invoices and receipts are two of them: Billing Documents pulls document date, type, and vendor name, while Receipts and Expenses pulls purchase date, merchant, amount, and currency. Bank Statements, Tax Documents, Contracts and Agreements, Legal Documents, and Compliance Documents are separate templates again, which is broader financial coverage than Magic Rename's seven.

FilesMagic AI keeps two advantages here that have nothing to do with the count: its templates run on-device with no per-file charge, and it needs no placeholder syntax to get a usable result. But if the question is purely which app ships more ready-made paperwork templates, the honest answer today is FilesDesk.

Format Coverage Beyond Paperwork

FilesDesk's documented format list is broader in one direction: PDF, DOC/DOCX, PPTX, XLSX, RTF, TXT/MD/CSV, common image formats, and, notably, audio (MP3, WAV, FLAC, AAC, M4A) and video (MP4, MOV, AVI, MKV, WebM), none of which Magic Rename touches. It also reads EXIF and GPS data from photos and can reverse-geocode a location into the filename.

Magic Rename's list is broader in a different direction: OpenDocument formats (.odt, .ods, .odp), EPUB, RTFD, and a long tail of text and markup formats (JSON, XML, YAML, TOML, INI, CONF, LOG) that FilesDesk doesn't document. For invoices and receipts specifically, both handle scanned PDFs and photographed receipts through OCR without a gap either way.

Automation & Undo

Magic Rename watches a folder and renames new files as they arrive, waiting until a file finishes downloading before touching it and setting aside anything it isn't confident about for review instead of guessing. Every rename is logged with the original name, and that history holds up to 2,000 entries, undoing a single file or a whole batch, even if you've since moved it.

FilesDesk also documents folder-watching with template-based renaming and logs every rename to a history you can undo from, which covers the same basic workflow. What FilesDesk's own site doesn't publish is a specific cap on that history the way Magic Rename's 2,000-entry figure is documented, so treat FilesDesk's undo depth as real but unquantified until you've tested it against your own volume.

FilesMagic AI is $4.99 a month, $29 a year, or $49.99 once for lifetime access, backed by a 7-day full trial. Every rename is included; there's no credit counter to watch and no separate AI bill, because the model is built in.

FilesDesk's entry price looks cheaper on paper, $8/month, but that buys 500 credits (one credit per rename), and heavier months mean either upgrading to the $20/2,000-credit Pro plan or running out before the period resets. The $40 one-time self-managed license removes FilesDesk's own metering, but if you use it with your own OpenAI, Claude, or Gemini key instead of a local model, your AI provider bills you separately per call, an extra cost FilesMagic AI's flat price never has. Run it against Ollama locally and that gap closes, at the cost of setting up and maintaining a local model yourself.
